The Nominating Committee is looking for anyone interested in serving as a member of the 2026 CLF Board of Directors. There are four open positions, most of which are 2-year terms. A brief synopsis of each position is posted below. Please consider supporting this great organization by volunteering to run for one of these positions.
All those interested in serving as a Board member should contact Kathie Kochanowsky, CLF Secretary and Chair of Nominating Committee, at secretary@claytonlibraryfriends.org by September 15, 2025. A member of the Nominating Committee will contact you to provide additional information and answer your questions.
Section 8.4
The Secretary shall give notice of all meetings of the Clayton Library Friends membership and of the Executive Board, shall keep the minutes of each regular meeting and special meeting of the membership and of the Board, and shall keep on file annual reports of all committees and of the Archivist. The Secretary. shall keep the Friends' official membership roll and call the roll of
the membership when required; shall have on hand at each meeting a list of all committees and their members; shall keep official copies of the Articles of Incorporation of the Friends, and other important documents and correspondence; shall maintain record books in which the Bylaws, Policy and Procedures Manual, and minutes are entered, with any amendments to these documents properly recorded; and shall have the current record books on hand at every meeting.
The Secretary shall provide a copy of the minutes to the President within ten days after each Meeting.
It is the duty of the Treasurer to oversee the accounts of the Friends, provide timely financial reports for the Board, and coordinate with the tax, audit, and investment professionals who have been engaged. The Treasurer chairs the Finance and Budget Committee.
Duties include: supervise the receipt and deposit of funds into CLF checking account; pay all bills with check or CLF credit cards; review all check requests and purchase orders and get board approval, if necessary; reconcile monthly checking and credit card statements’ monitor entries in membership program, performance of investment account, insurance coverage; assist with preparation of annual budget; prepare and present Treasurer’s Report for each Board meeting and submit quarterly financial reports to the Board; coordinate with CLF tax accountant for filing IRS Form 990; assist in preparation for audit; and provide financial documents to Technology Director and newsletter Editor.
Works with the CLF membership committee, webmaster, newsletter editor and Volunteer Coordinator at Family History Research Center at Clayton House (aka Clayton Library or The Library) to identify and recruit volunteers and determine where volunteers can assist in the Library. As The Director of Hospitality, he/she assists with plans for special events, works with volunteers to furnish coffee and refreshments at General Meetings, visits and greets members at gatherings and assists with decorating Clayton House for special events.
The Director of Correspondence is responsible for the majority of all outgoing correspondence for The Clayton Library Friends and maintaining correspondence supplies. Responsibilities and Duties include: sending thank you notes for all donations, monetary or non-monetary; forwarding names of all donors of large monetary amounts to the President; providing names of IMO and IHO individuals quarterly and all donors annually for publication; sending written sympathy messages to families; maintaining a list of correspondence received and presenting a report on correspondence sent and received at each quarterly CLF Board meeting.
